cheapEV Privacy Notice

This Privacy Notice explains how ECO Electric Car Organisation Limited, trading as cheapEV, collects and uses personal information through the cheapEV website and portal and when supporting employer salary-sacrifice schemes.
ECO Electric Car Organisation Limited (company number 12900204) is registered in England and Wales. Its registered office is c/o Kilsby Williams, Hazell Drive, Newport, NP10 8FY. "ECO", "cheapEV", "we", "us" and "our" refer to this company.
ECO is the controller of the personal information it uses for its own purposes under this notice.

Depending on how an individual uses cheapEV, ECO may collect:
• identity and contact details, including name, date of birth, address, telephone number and email address;
• employment and scheme information, such as employer, role, employee or reference number, salary-related inputs, eligibility and payroll events;
• vehicle and quotation information, including vehicle choices, term, mileage, options, delivery preferences and quotation status;
• driving-licence and driver information where a licence-check or scheme process requires it, including licence status, entitlements, endorsements or restrictions;
• account, enquiry and communications information, including preferences, support records, complaints and consent or opt-out records;
• technical information, including IP address, device and browser information, security logs and cookie information; and
• information needed for Revenue Assurance, including relevant employment events, vehicle-agreement information, dates, amounts, supporting evidence and correspondence.
ECO does not ordinarily request health information or other special-category information. It may occasionally appear in Revenue Assurance, licence-check or employer correspondence. ECO will only use it where necessary and where an appropriate legal condition applies. Information about convictions or offences will only be used where authorised by law and subject to appropriate safeguards.
The cheapEV service is intended for adults aged 18 or over.
ECO obtains personal information:
• directly from individuals through the Platform, forms, emails, calls and other communications;
• from participating employers and their payroll, HR or benefits providers;
• from B&B Vehicle Contracts Limited, lenders, leasing providers, vehicle suppliers and delivery or service partners;
• from Howden UK Brokers Limited, insurers and authorised licence-check or identity services; and
• automatically through the Platform, security systems and cookies or similar technologies.
ECO uses personal information to:
• operate accounts, the Platform, vehicle browsing, calculators, indicative illustrations and customer support;
• respond to enquiries and pass a requested quotation enquiry to B&B;
• support an employer with salary-sacrifice scheme setup and administration;
• provide licence-check Platform functionality where authorised;
• administer Revenue Assurance under a separate agreement with an employer;
• introduce a participating employer to Howden for relevant fleet insurance;
• send service communications and, where permitted, marketing;
• protect the Platform, prevent fraud, keep records, handle complaints and establish or defend legal claims; and
• comply with legal, regulatory, tax and law-enforcement requirements.
The lawful bases ECO relies on are: taking steps requested before a possible contract or performing a contract; ECO's or another party's legitimate interests in operating and improving the service, administering schemes, preventing fraud and protecting legal rights; compliance with legal obligations; and consent where the law requires it, including for certain marketing or non-essential cookies. Where ECO relies on consent, it may be withdrawn at any time.
If information required to progress an enquiry or provide a service is not supplied, ECO may be unable to continue with the request. Optional marketing information is not a condition of receiving a quotation.
ECO shares only the information reasonably necessary with relevant recipients, which may include:
• the individual's employer and its payroll, HR or benefits providers;
• B&B Vehicle Contracts Limited when an individual asks to progress a quotation;
• lenders, leasing providers, vehicle suppliers and delivery or service partners involved in a requested scheme or vehicle arrangement;
• Howden UK Brokers Limited and the relevant insurer for an employer insurance introduction or permitted administration;
• licence-check, identity, fraud-prevention, hosting, security, communications, analytics, CRM, document and professional-service providers; and
• regulators, courts, law-enforcement bodies, tax authorities, auditors, advisers or a buyer or successor where legally required or reasonably necessary.
ECO does not sell personal information. An employer, B&B, Howden, an insurer, lender or leasing provider may be a separate controller for its own activities and will provide its own privacy information.
B&B Vehicle Contracts Limited is registered in England and Wales under company number 06184222, with its registered office at 5A Fairfield Road, Chesterfield, Derbyshire, S40 4TR. It is authorised and regulated by the Financial Conduct Authority under Firm Reference Number 656300.
Howden UK Brokers Limited is registered in England and Wales under company number 02831010, with its registered office at One Creechurch Place, London, EC3A 5AF. It is authorised and regulated by the Financial Conduct Authority under Firm Reference Number 307663.

ECO may send cheapEV marketing where it has consent or another lawful route. Individuals can unsubscribe using the link in a marketing message or by contacting ECO. A quotation request does not give B&B, Howden or another partner permission to send unrelated marketing; each organisation is responsible for establishing its own lawful permission.
ECO uses essential cookies to operate and secure the Platform. Consent is requested before non-essential analytics, advertising or similar technologies are used, unless a legal exception applies. The Cookie Notice and preference tool explain the cookies used and how choices can be changed.
ECO keeps personal information only for as long as reasonably necessary for the purpose for which it was collected, including providing the service, meeting legal or regulatory duties, resolving disputes and establishing or defending claims. Retention depends on the type of record, the relevant agreement and applicable limitation, tax and regulatory periods. Information is securely deleted or anonymised when it is no longer required.
Some suppliers may process personal information outside the United Kingdom. Where UK data-protection law restricts a transfer, ECO uses an approved safeguard, such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to approved standard contractual clauses, together with any required risk assessment.
ECO uses appropriate technical and organisational measures to protect personal information. These may include access controls, authentication, encryption where appropriate, supplier checks, backups, staff training, testing and incident-response procedures. No internet service can be guaranteed to be completely secure.
The Platform may automatically calculate, sort or rank indicative results using information entered by the user and stated assumptions. ECO does not use those calculations to make a solely automated lending, credit or insurance decision, or a decision to enter a vehicle contract. A separate provider may conduct its own checks and will explain any significant automated decision-making in its own privacy notice.
Depending on the circumstances, an individual may have the right to:
• request access to personal information;
• ask for inaccurate or incomplete information to be corrected;
• request deletion or restriction of processing;
• object to processing based on legitimate interests or to direct marketing;
• receive certain information in a portable format;
• withdraw consent without affecting earlier lawful processing; and
• request human intervention where a qualifying solely automated decision is made.
These rights are not absolute and legal exemptions may apply. Requests concerning ECO should be sent to hello@electriccarorganisation.co.uk. ECO may request proportionate identity information and will normally respond within one month.
Requests about processing controlled by an employer, B&B, Howden, an insurer, lender or leasing provider should normally be directed to that organisation. ECO will help route a request where appropriate.
If an individual has concerns about ECO's use of personal information, they should contact hello@electriccarorganisation.co.uk so that ECO can investigate and respond.
An individual may also complain to the Information Commissioner's Office by calling 0303 123 1113 or visiting www.ico.org.uk or, where applicable, the Financial Ombudsman Service at www.financial-ombudsman.org.uk.
ECO may update this notice when its services, partners or the law change. The current version and its date will be displayed on the Platform. Questions about this notice may be sent to ECO using the details in section 1.

Cookies are small text files placed on a computer, phone or other device when someone visits a website. They help websites work, remember choices and provide information about how a service is used.
Similar technologies include local storage, pixels, tags, scripts and device identifiers that store information on, or access information from, a device. References to cookies in this policy include these technologies where applicable.
A cookie may be a session cookie, which expires when the browser is closed, or a persistent cookie, which remains for a stated period. A first-party cookie is set by cheapEV. A third-party cookie or technology is provided by another organisation.
The Platform may use the following categories of cookies where they are included in the current cookie inventory:
• Strictly necessary cookies: required to operate, secure and provide a feature requested by the user, such as signing in, maintaining a session, preventing fraud, remembering privacy choices or balancing traffic. These cannot normally be switched off through the preference tool.
• Functional cookies: remember optional settings or provide enhanced features. These are used only with consent unless a specific legal exception applies.
• Analytics cookies: help ECO understand how the Platform is used, identify errors and improve performance and services. These are not enabled before consent unless ECO has confirmed and documented that a legal exception applies.
• Advertising or campaign cookies: measure campaigns, limit repeated adverts or help provide advertising based on activity or interests. These require consent.
• External-content cookies: may be set when a user chooses to load a third-party feature, such as a map, video, chat tool or social-media content. The provider may use information under its own privacy terms. Consent will be requested where required.
ECO will not describe a cookie as strictly necessary merely because it is useful. The exception is applied only where storage or access is essential to provide a service or feature requested by the user, or solely to transmit a communication.
Strictly necessary cookies may be used without consent where the law permits. Optional cookies will not be placed or activated until the user has made the relevant choice through the cookie banner or preference tool. Rejecting optional cookies will not prevent access to the main Platform, although an optional feature may not work as intended.
The preference tool should offer clear choices to accept or reject optional cookies by purpose. A user may change or withdraw consent at any time by selecting the cookie-settings link on the Platform.
Withdrawing consent does not affect earlier lawful use. The consent cookie may remember a user's choice for the period stated in the inventory.
Cookies can also be deleted or blocked through browser settings. Blocking strictly necessary cookies may prevent parts of the Platform from working. Browser controls vary, so users should consult their browser provider's instructions.
The table below must match the cookies and similar technologies actually deployed on the live Platform. It should be updated whenever a technology, provider, purpose or duration changes.

Review basis: this inventory is based on the public test site reviewed on 6 September 2026 and the providers' published default cookie information. It should be checked again when the production site or the private Google Tag Manager container configuration changes. Browser settings may shorten stated maximum durations.
Where a third party provides a cookie or similar technology, ECO remains responsible for giving clear information and obtaining consent where required for its use on the Platform. The third party may also process information as a separate controller under its own privacy notice. The inventory should identify the provider and link to relevant information where appropriate.
The Platform may link to websites operated by employers, B&B Vehicle Contracts Limited (B&B Privacy Policy | B&B Terms & Conditions), Howden UK Brokers Limited (company number 02831010, registered office: One Creechurch Place, London, EC3A 5AF, FCA FRN: 307663; Howden Privacy Policy | Howden Terms), insurers, lenders, leasing providers or other organisations. Their websites use cookies under their own policies. A link alone does not mean that cheapEV controls cookies used on the destination website.
Cookie information may be personal information where it identifies or can be linked to an individual or device. ECO processes that information as described in the cheapEV Privacy Notice. Depending on the purpose, ECO may rely on consent, performance of a requested service, compliance with a legal obligation or legitimate interests under UK data-protection law. Consent required under the cookie rules is obtained separately.
Some technology providers may process information outside the United Kingdom. Where UK data-protection law restricts a transfer, ECO uses an approved safeguard, as described in the Privacy Notice.
Each cookie is kept only for the period reasonably necessary for its purpose. The duration is shown in the cookie inventory. Session cookies normally expire when the browser is closed. Persistent cookies expire after the stated period unless they are deleted earlier. ECO periodically reviews durations and does not rely on a browser's maximum expiry period as a default.
ECO may update this policy when the Platform, its technology providers or the law changes. The current version and its date will be displayed on the Platform. If ECO introduces an optional technology for a new purpose, it will update the information provided and request fresh consent where required.
